This section walks through setting up Zimpl for your business group from scratch — from your first login through inviting your team and importing existing records.

Setup

Getting Started

Once your account is set up, you'll receive access to your business group's dedicated subdomain — for example, yourgroup.zimpl.app. This is your permanent entry point into Zimpl.

Your first login

On first login, you'll land on the Executive Dashboard. If this is a brand new account, most modules will be empty until you complete company setup and begin entering data.

What to do first

  • Set up your company structure (see "Configuring Company Structure")
  • Invite your core team members and assign their roles
  • Import any existing records you want carried into Zimpl

You don't need to complete all of this before using the platform — the Executive Dashboard will simply reflect more as more data is added.

Configuring Company Structure

Zimpl is built around the reality of multi-company, multi-branch business groups. Before entering operational data, it helps to set up your structure correctly.

Companies vs. Branches

A "Company" in Zimpl represents a distinct legal entity within your group — each with its own commercial registration, financial records, and compliance items. A "Branch" represents a physical location belonging to one of your companies — useful for retail, hospitality, or any operation with multiple sites under one entity.

Setting this up correctly matters

Confidence scores, the Executive Briefing, and the Blocker Chain all roll up through this structure. A business with three separate companies should set up three Company records — not one company with three branches — since the Companies module tracks distinct legal and financial accountability.

Inviting Team Members

Once your company structure is in place, you can invite the people who will actually be using Zimpl day to day.

Who should you invite first?

  • Anyone responsible for entering operational data (PROs, accountants, branch managers)
  • Anyone who needs visibility into specific modules without full executive access
  • Any co-owners or directors who should see the same Executive Dashboard you do

What happens when someone is invited

Each invited team member receives access to your business group's subdomain with a role already assigned — they won't see a generic signup page, since access is always scoped to your specific group from the start.

Team

Roles & Permissions

Roles determine exactly what a team member can see and do within Zimpl. Getting this right protects sensitive information while still giving each person what they need to do their job.

Typical roles

  • Executive — full visibility across all companies, branches, and modules
  • Manager — visibility into their assigned company or branch, with the ability to see their team's blockers
  • Executor (e.g. PRO, accountant) — access limited to the specific modules relevant to their task, such as Visas or Payables

A role doesn't have to be permanent

Roles can be adjusted at any time as someone's responsibilities change — there's no need to remove and re-invite someone just to change what they can access.

Data

Importing Existing Data

Most business groups joining Zimpl already have years of records — contracts, employee data, financial history — sitting in spreadsheets or other systems. Getting that history into Zimpl means the platform reflects your real, established business from day one, not just what happens going forward.

What can be imported

  • Company and branch records
  • Existing contracts, including end dates and renewal terms
  • Employee records, visa and passport expiry dates
  • Outstanding receivables and payables

How it works

For most business groups, we handle the initial import directly as part of onboarding — particularly for groups with substantial historical records. Reach out and we'll talk through the best approach for your specific data.
